About Urban Growers CollectiveUrban Growers Collective is a Black- and women-led non-profit farm in Chicago, Illinois working to build a more just and equitable local food system. We aim to address the inequities and structural racism that exist in the food system and in communities of color. Rooted in growing food, our mission is to cultivate nourishing environments which support health, economic development, healing, and creativity through urban agriculture.

We provide hands-on job training and create economic opportunities for youth, beginner BIPOC farmers, and men who are at high risk for gun violence. Our aim is to provide jobs while working to mitigate food insecurity and limited access to affordable, culturally-affirming, and nutritionally-dense food.

Our team cultivates eight urban farms on 11 acres of land, predominantly located on Chicago’s South Side. These farms are production-oriented but also offer opportunities for staff-led education, training, and leadership development. Our produce is available at farmers’ markets, in our Collective Supported Agriculture program, and at the Fresh Moves Mobile Market.

Position Summary 

Reporting to the Development Manager, the CRM Coordinator is critical to the long-term strategy and daily operations of Urban Growers Collective (UGC), including a major gifts capital campaign. The CRM Coordinator will be responsible for the day-to-day functions, support, maintenance, and improvement of UGC’s CRM (Keela). This comprehensive donor management system organizes UGC’s contact database, gifts and grants received, marketing and public communications, volunteer outreach and management, fundraising activities, and general constituent relationship management. The CRM Coordinator role combines technical project management, database administration, and knowledge of nonprofit fundraising best practices. Working closely with development, finance, and communications team members, the CRM Coordinator will serve as a CRM subject-matter expert for all UGC staff and will provide CRM training and technical assistance to colleagues as needed. 

Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following:CRM Data Management and System Administration (60% - 24 hrs/ week)
  • Serve as primary system administrator and subject matter expert for UGC’s CRM system, Keela.
  • Take responsibility for all technical aspects of UGC’s CRM, including creating forms for online donations and event registration, assisting in developing direct mail, email and other campaigns, and other typical nonprofit fundraising applications.
  • Oversee data management workflows and ensure completion of weekly operational duties, including contact and donor record management, gift processing and acknowledgements, and related processes. 
  • Execute data maintenance tasks, including de-duplication, quality-control processes and procedures, ongoing updates in support of changes to donor retention and engagement processes, and other data quality tasks.
  • Manage system automations and integrations, ensuring seamless execution of workflows and processes. 
Fundraising Process Support (20% - 8 hrs/week)
  • Support development staff with high touch donor cultivation and stewardship, including capital campaign, through timely data inputting, analysis, and reporting. 
  • Provide input and requested information for grant proposals, acknowledgments, reports, and monitoring. 
  • Provide support to marketing and communications on campaigns, including donor segmentation and analytics for emailings, newsletters, and other communication functions.
  • In partnership with the Development Associate and Development Manager, ensure all gifts are recognized and thanked appropriately and in a timely manner. 
CRM & Google Workspace/GSuite Technical Support and Training (10% - 4 hrs/week)
  • Identify and troubleshoot technical database issues and work with Keela support and Google Workspace/GSuite personnel when necessary to fix issues. 
  • Provide ongoing Keela CRM and Google Workspace/GSuite training and technical support to UGC staff members, including onboarding training for new staff and interns, as needed.
  • Stay up-to-date with product knowledge, releases and upgrades, and propose and implement CRM and Google Workspace/GSuite enhancements.
  • Create and maintain training materials and user documentation, as needed. 
  • Proactively identify and present solutions to common or unique challenges. 
Reporting (5% - 2hrs / week):
  • Build reports and dashboards as requested for impact reporting, financial reporting, and strategic decision making. 
  • Liaise with the finance team for proper recordkeeping and integration of CRM and financial tracking systems. 
  • Monitor and report on key performance metrics and generate reports to inform donor and constituent engagement strategy.
Administration (5% - 2hrs / week):
  • Promote UGC programs at special events and community meetings, including the creation of slide-decks and presentations;
  • Weekly Newsletter and website updating of Keela forms for Programs
  • Maintain appropriate supplies for projects; filing, typing, copying, binding, and scanning. 
  • Complete weekly work plan and daily checkouts;
  • Submit accurate timesheets & expense reports;
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Required: Demonstrated proficiency in CRM administration, including prospect and constituent management, data quality, developing reports. A minimum 2 years of experience is required on any CRM software.
  • Required: Demonstrated proficiency in Google Workspace & GSuite
  • Prior experience in non-profit development preferred, including an understanding of nonprofit fundraising processes, donor cultivation, nonprofit marketing and related financial requirements.
  • Excellent organizational, communication and follow-through skills;
  • Maintains appropriate professional boundaries in working with co-workers and teens;
  • Ability to think critically and creatively;
  • Willingness to work as part of a team in a collaborative environment, but have the ability to work unsupervised to complete the job;
  • Must be able to lift 75 pounds; and most importantly a
  • Passion for food justice, youth development and urban farming.
  •  Valid Driver’s License and willingness to drive, preferred.
  • Required: COVID-19 Vaccination or approved medical/religious exemption with mandatory weekly testing
  • Required:  Able to work on holidays / weekends (if needed).

  • Position will require prolonged use of a computer, to be provided by Urban Growers Collective.
Schedule:
  • This is a full-time salaried position, 40 hours per week;
  • Monday-Friday, 8:30 am-5:00 pm (regular schedule)  / 10:00a-7:00p (if evenings required);
  • Breaks: 2 - 15 minute breaks (paid) + 30 minute lunch (unpaid); and
  • Occasional evening hours will be required to participate in farm and community events. Start time will be flexed to accommodate change in schedule.

Compensation: $46,000 - $49,000 (commensurate with experience)
